Importing your spreadsheet

Bring in the crew list you keep today, check what Currity found, and save it in one go.

The file

The importer reads a CSV file with a header row. Save or export your spreadsheet as CSV first. Only one column is required: the person's name. Every other column can be missing.

The two shapes it reads

  • One row per person, with a column for each credential. Each credential column holds that card's expiry date. The heading is matched to your credential types, so a column headed Fall Protection expiry is read as the expiry of Fall Protection.
  • One row per credential, with one column naming the credential and columns for its expiry and issue dates. Currity reads a file this way when it finds both a credential column and an expiry column.

If Currity picks the wrong shape, change it under This file has.

Column names it recognizes

Case and punctuation in a heading do not matter.

  • Name: name, employee name, full name, worker, employee, crew member, person.
  • Role: role, job title, title, trade, position, classification, craft.
  • Site: site, jobsite, job site, location, crew, project.
  • Email: email, email address, e-mail.
  • Phone: phone, phone number, mobile, cell, cell phone, telephone.
  • Employee ID: employee id, employee #, emp id, id, badge, badge number.
  • Language: language, preferred language, crew language, lang, idioma, lengua. A cell reading en, english, es, spanish or español sets the crew member's language. Anything else is left as English and listed for you.
  • For one row per credential, the credential: credential, certification, cert, training, course, type.
  • Its expiry: expires, expiry, expiration, expiration date, expires on, valid until.
  • Its issue date: issued, issue date, issued on, completed, date completed.

Steps

  1. Open Import in the menu.
  2. Press Choose your spreadsheet and pick the CSV file.
  3. Check This file has: one row per person, or one row per credential.
  4. Under How each column is read, check each column. Change any guess that is wrong and the preview updates straight away. Set a column to Ignore this column to leave it out.
  5. Read the preview: each person with their role, site and the credentials found, and any rows that need a look.
  6. Tick Send everyone added with an email a card request now if you want the crew to send photos of their cards.
  7. Press the import button. It counts the people, as in Import 42 people.

Before anything is saved

Nothing is written until you press Import. Before that you see every person and every date Currity found.

  • Dates are read in most shapes: 09/17/2027, 2027-09-17, 17 Sep 2027, and Excel's date numbers.
  • A date that could be read two ways, day first or month first, is flagged so you can check it.
  • A date that cannot be read is listed for you, not guessed at.
  • A row with no name is skipped, and the list says which row.
  • In a file with one row per person, a column that matches none of your credential types is set to Ignore this column. Check it before you import.
  • In a file with one row per credential, a credential that is not in your credential types is skipped, and the list says so.

People already on the board

  • A row is matched to someone already on the board by name, ignoring case and spaces at either end.
  • Nobody is added twice. A matched person keeps their role, site, email and crew language as they are on the board.
  • New credentials in the file are added to the matched person. A card already on file with the same expiry is skipped.
  • Two rows with the same name in one file become one person.

When it is done, Currity says how many people were added, how many were already on the roster, and how many credentials were recorded.

Good to know

  • CSV only. An Excel workbook has to be saved as CSV first.
  • The importer never creates a credential type. Add a missing one first with Other: add your own… in the credential list on the board, then import.
  • The importer does not read card numbers or who issued a card. Add them on the person's file, under Number and issuer, optional.
  • To change someone already on the board, edit their file. Importing again does not change them.
  • A read only account cannot import. See Billing, the trial and cancelling.
